Verified Clinics Pty Ltd (“Verified Dental”, “we”, “us”, “our”) operates the verifieddental.com.au website (hereinafter referred to as the “Service”).
This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit verifieddental.com.au (the Website) or otherwise interact with us (together, the Services).
We manage personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Some state laws may also apply to clinics. If you are in the UK/EEA, additional rights under UK/EU GDPR are set out at §14.
2. The kinds of information we collect
Depending on how you use our Services, we may collect:

Identity & contact: name, email, phone, suburb/postcode, state, preferred contact times.

Appointment information: preferred clinic(s), requested dates, booking confirmations and outcomes.

Marketing preferences: newsletter opt-ins, consent choices.

Technical: IP address, device and browser type, pages viewed, session duration, referring URLs, and similar analytics.
3. How we collect information

Directly from you: web forms, calls/SMS, email, social DMs, surveys or when you upload photos.

Automatically: cookies, pixels and similar technologies on our Website (see §9).

From third parties: with your permission, from partner clinics (e.g., appointment outcomes) and service providers (e.g., CRM/analytics).
4. Why we collect, use and disclose information
We use personal information to:

run the referral service and connect you with appropriate partner clinics;

triage enquiries and facilitate appointment scheduling, reminders and follow‑ups;

provide customer support and respond to queries;

send service messages and, if you opt in, marketing/newsletters;

improve the Website, run analytics and measure campaign performance;

prevent fraud, secure our systems and comply with law; and

manage complaints, disputes and regulatory requests.
Where we handle sensitive information (e.g., health information you provide), we do so with your consent or as otherwise permitted by law. You can withdraw consent at any time (see §12).
5. Disclosure of your information
We may disclose personal information to:

Partner dental clinics you select or that match your request, so they can contact you to discuss suitability, pricing and appointments;

Service providers that help us operate (hosting, CRM, email/SMS, analytics, payment processors, security, advisors);

Regulators and law enforcement if required or permitted by law; and

Potential acquirers in a business transfer, subject to confidentiality.
We require recipients to handle personal information appropriately and only for the purpose disclosed. Clinics are independent controllers of any patient records they create in the course of providing clinical services; their own privacy policies apply to clinical records.
6. Direct marketing
We only send direct marketing (email/SMS) where permitted and always provide an easy opt‑out. You may unsubscribe in any message or email contact@verifieddental.com.au. We do not sell personal information.
7. Security
We use administrative, technical and physical safeguards appropriate to the risks, including encryption in transit (TLS), access controls, least‑privilege permissions, audit logging and staff training. No method is 100% secure; if a data breach occurs that is likely to cause serious harm, we will assess and notify you and the OAIC where required (see §13).
8. Cookies, pixels and analytics
We use cookies and pixels (e.g., Google Analytics, Meta Pixel/Conversions API) to help operate the Website, understand usage and measure ads. You can manage cookies in your browser. We configure pixels to limit the sharing of personal information and do not intentionally send sensitive health information to ad platforms. You can opt out of marketing cookies in our banner or by emailing us.
9. Retention
We keep personal information only as long as reasonably necessary for the purposes above or as required by law. Typical retention: enquiries and correspondence up to 24 months; marketing preferences until you unsubscribe; transaction records 7 years. We securely destroy or de‑identify data when no longer needed.
10. Access and correction
You may request access to the personal information we hold about you and ask us to correct it if it is inaccurate, out‑of‑date or incomplete. Contact contact@verifieddental.com.au. We will respond within a reasonable time (usually 30 days).

12. Complaints & data breaches

13. Children
Our Services are for people 18+. We do not knowingly collect personal information from children under 18.
14. Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new “Last updated” date.
